Note: Estate Access Rules are only available on certain subscription plans.
Estate Access Rules control which properties and areas a user can access. You can create a rule once and then assign it to one or more users.
Step 1: Open the Estate Access Rules page
From the top navigation bar, go to Settings and select All Settings.
In the left-hand menu, click Estate Access Rules.
Click Create.
Step 2: Enter the basic details
If you are a partner or have a multi-entity subscription, select the Company this rule applies to.
In the Title field, enter a name for the rule (for example, South East Region).
Leave the Status set to Active.
Step 3: Choose what the rule can access
Use the Assign access to all properties toggle to choose whether this rule gives access to all properties or only specific ones.
If the toggle is set to Yes:
The rule will give access to all properties.
You can assign users now (see Step 4) or click Save.
If the toggle is set to No:
You can choose exactly which properties and areas this rule allows access to.
Start by selecting one or more Property Types.
The next levels (Property Categories, Properties, and Assessable Areas) will appear as you make selections.
You can refine access using the levels below (you do not need to use all levels):
Property Type (Level 1): Access to all properties of a selected type.
Property Category (Level 2): Access to all properties of a selected type and category.
Property (Level 3): Access to specific properties only.
Assessable Area (Level 4): Access to specific properties and specific assessable areas.
Tip: You can hover over a level title to see a short description of what it controls.
Step 4: Assign users to the rule
In the Assign Users field, select the users who should use this access rule.
You can also assign users later if needed.
Step 5: Save the rule
Click Save to finish creating the Estate Access Rule.
